Free Grocery Store POS Software You Can Download

Free POS software for a grocery store you can download for Windows or Android. What most free download results hide, and what a grocery till really needs.

What you are really asking for when you type "free download"

A provision store on a busy street in Surulere, Lagos, around six in the evening. Three customers deep at the counter. One is buying a sachet of milk and a loaf of bread, one wants a carton of noodles at the wholesale price because he takes one every week, and the third is waiting for change nobody can find. Behind the counter there is a laptop that came with the shop when the owner took it over, and a phone that never leaves her hand.

That is the setting behind the search. When someone types grocery shop management software free download, they are not browsing for a SaaS platform. They want a file. Something they can install on the machine in front of them tonight, that will still be there tomorrow, that will not ask for a card number on day fourteen.

Two situations account for almost all of it. Either there is a Windows PC or laptop at the counter and the owner wants a proper till on it, or the shop runs on an Android phone or tablet and the owner wants an app that behaves like a till instead of a notebook. Both are reasonable. Both are badly served by what the first page of results actually offers.

So this guide covers what you get when you download, where the word free stops being true, what a grocery counter specifically needs that a generic till does not, and how to have something running before you close tonight.

The trap sitting in most "free download" results

Search for grocery POS with the word download attached and you land in one of the oldest corners of the software business. It is worth knowing what you are looking at before you install anything.

The thirty day trial dressed as a free product. The download page says free. The installer is free. The software runs, you spend a Saturday entering three hundred products, and on day thirty-one it locks and asks for a licence. Nothing was hidden exactly, but you have now invested the one thing a shop owner cannot get back, which is the evening you spent typing in your stock.

The per terminal licence. Free for one till. You open a second counter for the December rush and discover the second one costs money, usually more than the first, and often as a one-off payment that arrives without warning.

The cracked build. This one deserves plain speaking. A large share of results for grocery software free download point at repackaged commercial software with the licence check removed. People install it because it works and it costs nothing. What they are also installing, often enough that it is not worth the gamble, is a keylogger sitting on the same machine where they will type their bank password. Plenty of POS software is written for a boutique or a coffee shop and then sold to everyone. A grocery shop breaks it quickly, for reasons that are specific and worth naming before you choose anything.

Speed on a long basket. A clothes shop sells two items per customer. A grocery sells fourteen. If ringing up an item takes two extra taps, that is twenty-eight extra taps per customer, and by the Saturday evening rush your staff have quietly gone back to the calculator. Barcode scanning matters here, and so does the boring detail of how fast the search finds an item that has no barcode.

Products that are not one price. Rice sold by the cup and by the bag. A carton of noodles that costs less per pack than the single. Sachets sold in threes. A till that only understands one product with one price will be worked around within a week, and once staff start working around the till your stock figures stop meaning anything.

Stock that actually decrements. This is the whole reason to stop using a notebook. You want to know on Tuesday that the maggi is running low, without walking the shelf. That only works if every sale removes the item from stock, which only works if every sale goes through the till, which brings us back to speed.

Expiry and batches. Milk, yoghurt, bread, drugs if you carry them. A grocery that cannot see what expires next is throwing money in the bin every month without ever seeing the number.

Several people behind the counter. Your nephew works evenings. Your sister covers Sunday. When the drawer is short you need to know which shift it went short on, without accusing anyone. That means each person logs in, even if logging in is just a four digit code.

Cash first, everything else second. Most grocery money is still cash, with transfers and mobile money growing fast. A till built around card payments will insist on treating cash as an afterthought, and the end of day count becomes guesswork.

Hold any candidate against those six and most of the field falls away, free or paid.

This is the shortcut, and it is the difference between finishing tonight and abandoning the project on Sunday. Fifty items covers the large majority of a grocery's daily sales. Everything else you add over the following two weeks, at the moment a customer actually buys it, which takes twenty seconds and spreads the work across quiet moments instead of eating your weekend. 4. Set your payment methods. Cash, plus bank transfer and whichever mobile money your customers actually use. Each one separate, so the evening report splits them. 5. Sell one real item to yourself. Ring it up, take the receipt, check the stock went down by one, look at the daily report. Five minutes now saves a bad discovery on Saturday. 6. Add the barcode scanner if you have one. A basic USB scanner behaves like a keyboard and needs no configuration on Windows. If you do not have one, a phone camera scan works and you can buy the scanner later.

Do not migrate three years of history. Nobody reads it, and the attempt is where most till projects die. Start from tonight's stock and let the history build itself.

When the power goes and the network with it

This is the section that decides it for a lot of shops, and it gets skipped in most comparisons because the people writing them have fibre.

A cloud till that needs a connection to ring up a sale is a till that stops working exactly when your shop is busiest and most stressed. The transformer goes, the estate goes dark, the router dies with it, and the queue does not care. What happens next tells you what you actually bought.

If your shop is mostly cash, the power is unreliable and you want the till on a phone, the first option is the one built for that situation. If you are in a market with reliable power and mostly card payments, Square and Loyverse are serious choices and it would be dishonest to pretend otherwise.

A word on the machine you install it on

One last practical thing, because it decides more outcomes than the software choice does.

The counter PC that came with the shop is usually the worst device in the building. It is old, it is full of whatever the previous owner installed, and it is the one thing in the shop with no battery. Meanwhile the Android phone in the owner's hand is newer, faster, has six hours of power in it, and is already carried everywhere.

If you are choosing today, put the till on the phone or a cheap Android tablet and keep the desktop for the back office work where a big screen genuinely helps, which is receiving stock and reading the month's reports. A basic Android tablet costs less than most POS hardware and does the job better than a decade-old PC. If you want printed receipts, a Bluetooth thermal printer is inexpensive and pairs in a couple of minutes.

Download whichever one fits your counter, spend an evening on your top fifty products, and run the aeroplane mode test before you rely on it.
